Position Description:
Ngage Management is a rapidly growing company that provides full-service association management to clients on a national level. Ngage is seeking an experienced Meeting and Events Planner to join our team of talented and driven individuals. This position will serve an integral role of a team supporting multiple clients to plan and execute successful meetings and events. The ideal candidate must thrive in a challenging and fast-paced atmosphere where prioritizing and multi-tasking are the norm.

Essential Duties and Responsibilities:
  • Design events to meet the strategic goals of the client.
  • Oversee and facilitate all aspects of meeting planning from working with education committees on content planning, site selection, vendor negotiation, event registration, marketing, speaker management, onsite staffing, and post-event reporting.
  • Develop copy for brochures, sponsor prospectus, and registration forms for promotion of events. Lead communications with client membership on events, including weekly e-newsletters, social media, website, or other promotional outlets.
  • Financial accountability to include budget preparation, reconciliation, processing travel expense reports, or working with suppliers on contract minimums.
  • Lead client planning committee calls. Calls may be after 5 pm, depending on client time zone. Negotiate contracts with venues for meeting space, food and beverage, overnight room rates, or off-site events.
  • Responsible for event logistics such as: timelines, ensuring adequate meeting space, staff and presenter travel arrangements, food and beverage selection, , audio/visual support, and all necessary details for implementing events.
  • Prepare all event materials such as name tags, tent cards, agendas, handouts on mobile app, copy for signage, etc.
  • Manage applying for and tracking of continuing education credits for trainings and conferences.
  • Maintain accurate databases and records for client archive, including data-entry.
  • Work directly with sponsors and exhibitors through entire sales process to execution of exhibit area or hall; ensuring all sponsor deliverables are complete.
  • Provide on-site leadership for trainings and conferences.

  • Prioritize projects and organize within project timelines (In-office project management software is Asana).
  • Ability to travel to offsite locations and venues for trainings and conferences.
  • Proficient in Microsoft Office suite including Excel, Word, PowerPoint, and Outlook; Constant Contact; Facebook, LinkedIn, Zoom, and Twitter.
  • Certified Meeting Planner (CMP) strongly preferred and association experience desired.
Required Travel:
  • Travel to conference/training events is frequent and required. Travel expenses are reimbursed.

The Communications and Design Specialist will be an integral part of a team supporting a multitude of clients on communications, marketing and design.

The ideal candidate should be proficient in Adobe Creative Suites, with experience in social media, email marketing and content writing.

Essential Duties and Responsibilities:
  • Serves as a content creator and writer for several clients and is responsible for telling the organization’s stories to multiple audiences through various communication methods
  • Social media facilitation and analytics for several clients
  • Assist in drafting content for mass media or company website
  • Creates brand-centric designs for several clients’ e-newsletters, print publications, small flyers, brochures, prospectus and advertisements
  • Produces print and digital content and materials from concept through production
  • Understands web content strategy and is able to plan and implement improvement to website design/architecture
  • Mobile event app development using a content management system
  • Manage client membership database and reporting
  • Corresponds with members through various communication methods resolving problems, obtaining and relaying information, and responding to inquiries and complaints
  • Assist in all other matters of client and company communications

Qualifications:
  • Proficient with Adobe Creative Suite (InDesign, Adobe Photoshop, Adobe Illustrator), social media platforms, and content management systems
  • Basic knowledge of printing and digital processes is required; additional knowledge is helpful
  • Experience in web design and content production is a plus
  • Excellent project management skills are required
  • Ability to balance competing projects on tight deadlines
  • Must be able to work in a fast-paced environment
  • Positive attitude and customer service experience
  • Strong attention to detail and organization skills
  • Good interpersonal communication skills are required; this position will work closely with a cross-department of employees, other departments, clients and volunteers
  • Excellent communication (oral and written) and presentation skills
  • Bachelor’s degree in communication, graphic design, public relations, marketing, journalism or related program is preferable
  • A minimum of 2-3 years of experience required

The Membership and Administrative Coordinator will be an integral part of a team supporting a multitude of clients. The ideal candidate must thrive in a challenging and fast-paced atmosphere where prioritizing and multi-tasking are the norm.

Essential Duties and Responsibilities:
    Membership
  • Assisting members of multiple associations with inquiries related to membership and accessing services
  • Process and approve membership applications and renewals
  • Maintain and updating membership records
  • Assist with member communications (newsletters, social media, etc.)
  • Collect data, track membership statistics, and prepare reports
  • Develop and implement strategies to recruit new members and retain existing members
    Administrative
  • Provide high-level customer service and hospitality to clients and guests
  • Answer, screen, and forward calls, providing information, taking messages or scheduling appointments
  • Work in partnership with other members of the Ngage team to contribute to the effective and efficient running of day-to-day operations
  • Provide administrative support to Executive Directors
  • Provide support to Meeting Planners such as processing registrations, handling attendee inquiries, preparing a variety of materials, and coordinating logistics with vendors, speakers, and venues
  • Attend client meetings related to events and/or provide onsite support for conferences when necessary
